For collaborations we often make use of various document management systems, but certainly also email.
A location or system is used where documents are temporarily stored before they receive an archive status (definitive). In this ‘dynamic’ phase it is important to make strict agreements to prevent issues afterwards.
In the next phase, ‘semi-static’, documents should be included to an archive system. Again, strict agreements are necessary to prevent issues in a later stadium.
When the retention period of a document is passed, and the document does not have any historical or scientific value, it is important to destroy the document. Here too, agreements are necessary to prevent issues.
